Rent Reminder Notices and Templates
A useful rent reminder notice tells a tenant which rent period is being discussed, the amount due, the payment details and whom to contact about a mistake. It should be clear enough to act on without sounding threatening or implying that an unverified balance is beyond question.
The three templates below cover an upcoming payment, an overdue balance and a part-payment. Copy the relevant wording, replace every bracketed field and check the figures before sending. These are routine administrative reminders, not eviction notices, lease-termination documents or legal demands.
Check the account before sending a reminder
Confirm the tenant, property and unit. Review payments received since the last statement, including receipts that have not yet been allocated. Check whether a recent payment came from a relative or used an unclear reference. A tenant should not receive a demand for money already received but recorded under the wrong unit.
Next, confirm the relevant rent period and due date from the applicable tenancy records. Separate current rent from an opening balance or other charge. The rental statement reconciliation guide shows how to check the account before following up.
Template 1: friendly reminder before rent is due
Use this when the due date is approaching and there is no need to describe the tenant as overdue. Insert the correct period rather than relying on “this month”, particularly when sending the message near month-end.
Upcoming rent: copy and complete
Subject: Rent reminder — [Property], Unit [Unit] — [Rent period]
Hello [Tenant name],
This is a reminder that rent of KSh [Amount] for [Rent period] is due on [Due date] for [Property], Unit [Unit].
Please use the verified payment details in your tenancy records: [Payment channel and account reference]. Enter [Unit or tenant reference] so we can allocate the payment correctly.
Already paid? Please share the transaction reference with [Contact name] through [Private contact channel] so we can check and update the record. Do not send your PIN or password.
Thank you,
[Sender name and role]
[Contact details]
Template 2: reminder after the due date
Use an “as at” date to show when the balance was checked. The balance may change after the message is prepared. Give the tenant a specific contact for payment questions rather than sending an unexplained figure.
Overdue balance: copy and complete
Subject: Outstanding rent balance — [Property], Unit [Unit]
Hello [Tenant name],
Our records show an outstanding rent balance of KSh [Balance] for [Rent period], as at [Date and time checked]. The recorded due date was [Due date].
Account summary: opening balance KSh [Opening balance]; rent charged KSh [Current rent]; payments and applicable credits KSh [Total payments and credits]; balance KSh [Balance].
Please arrange payment using [Verified payment instructions], or contact [Name and private contact] to discuss the balance. When paying, use [Tenant or unit reference].
Where a payment is missing from this summary, please send its date, amount and transaction reference privately so we can investigate. A statement is available on request.
Thank you,
[Sender name and role]
[Contact details]
Template 3: acknowledge a part-payment and state the remainder
Acknowledge money already paid. Do not resend the original full-rent figure without explaining the payment and remaining balance. Mention a promised payment date only when it has actually been agreed and recorded.
Part-paid rent: copy and complete
Subject: Payment received and remaining rent — Unit [Unit]
Hello [Tenant name],
Thank you for your payment of KSh [Payment amount] received on [Payment date], reference [Receipt or transaction reference], for [Property], Unit [Unit].
After this payment and the recorded account entries, the remaining rent balance is KSh [Remaining balance] as at [Review date]. The attached or available statement shows how this balance was calculated.
[Include only when true: We recorded your agreed next payment date as [Date]. Please contact us if that arrangement needs to be discussed.]
Please use [Verified payment instructions] and reference [Tenant or unit reference]. For a correction or question, contact [Name and private contact].
Thank you,
[Sender name and role]
How to adapt a reminder for SMS or WhatsApp
Keep a short message focused on the tenant, unit, period, checked balance and private contact. For example: “Hello [Name]. Our checked rent balance for Unit [Unit], [Period], is KSh [Balance] as at [Date]. Please pay using your verified payment details or contact [Name] about any missing payment. Thank you.”
Send it directly to the intended recipient, not to a tenants’ group. Share a detailed statement privately where needed. Do not ask for a payment PIN, password or unnecessary identity documents. For personal-data requirements, consult the Office of the Data Protection Commissioner.
What to keep in the reminder register
| Record | Why it is useful |
|---|---|
| Tenant, property and unit | Identifies the account without ambiguity |
| Balance and statement review date | Shows which figures supported the message |
| Exact message or saved copy | Preserves what was actually communicated |
| Date, channel and recipient | Shows where and when it was sent |
| Reply and agreed next action | Avoids repeated requests that ignore a response |
| Next review date | Keeps follow-up organised |
A sent message and a read indicator are not the same thing as a verified payment. Similarly, a promise to pay should remain a follow-up note until money is received and recorded. Recheck the account before the next reminder and stop chasing a balance that has been resolved.
Mistakes to avoid in rent reminder notices
Avoid unsupported penalties, invented deadlines and threats to lock a tenant out or disconnect services. Do not label an ordinary reminder as a formal legal notice. Keep the tone factual, acknowledge genuine disputes and seek qualified advice before enforcement or termination.
Verify payment instructions carefully, especially after an account change. Do not paste a new payment destination into a message without the owner’s approval and an appropriate way for the tenant to confirm it.
Connect reminders to better rent records
The best starting point for a reminder is an accurate tenant ledger. NyumbaLedger’s notice recordkeeping guide connects communication with dated tenant records. Review the current online workspace or the separate editable Landlord Starter Pack for a workflow that suits your property.
These page templates are available to copy as text. They do not imply that automated SMS, WhatsApp sending or a legally compliant notice service is included in any product plan.
Frequently asked questions
What should a rent reminder notice include?
Include the tenant, property, unit, rent period, checked balance, relevant due date, verified payment instructions and a private contact for questions. Record when the balance was reviewed.
Can I send the same reminder to every tenant?
Use a shared structure, but check and personalise each tenant’s account details. Sending one unchanged balance to several tenants creates avoidable errors and may reveal another person’s information.
What should I say when rent is partly paid?
Acknowledge the amount received and its date or reference, then state the remaining checked balance. Mention a promised payment date only when that arrangement was actually agreed.
Should a reminder contain a late-payment penalty?
Do not invent a penalty in a reminder. Any proposed charge needs an appropriate basis and review against the applicable agreement and legal requirements. Keep disputed amounts clearly identified.
Is this an eviction or termination notice?
No. These templates are ordinary payment reminders. Formal notices and enforcement require a separate assessment of the agreement, circumstances and applicable law by an appropriately qualified professional.
What should happen when a tenant says they already paid?
Ask privately for the date, amount and transaction reference, then check the receiving records and allocation. Correct the account where appropriate before sending another reminder.
Can I post outstanding rent in a tenants’ group?
Use private tenant-specific communication rather than a public or group arrears list. Share only the information needed with appropriate recipients and consult official guidance on handling personal data.
Do these templates require buying a toolkit?
No purchase is required to copy the sample wording on this page. The separate Landlord Starter Pack is an optional product for people who prefer a broader set of editable files.
